Receptionist / Front Office Coordinator

Overview:
We are seeking a reliable and customer-focused Receptionist to support daily operations in a fast-paced construction environment. This role serves as the first point of contact for visitors, clients, vendors, and field teams while keeping the front office organized and running efficiently.


Key Responsibilities:

  • Greet and assist visitors, clients, subcontractors, and delivery personnel in a professional and welcoming manner
  • Answer and route incoming calls, emails, and inquiries promptly and accurately
  • Coordinate communication between office staff, project managers, and field teams
  • Manage incoming/outgoing mail, packages, and job site deliveries
  • Maintain a clean, organized reception and office environment
  • Track and distribute construction documents such as permits, plans, and work orders
  • Support administrative tasks including data entry, filing, scanning, and document management
  • Assist with scheduling meetings, job site visits, and conference rooms
  • Order and maintain office and site supplies (PPE, materials, etc.)
  • Support project teams with basic reporting, time tracking, and vendor coordination
  • Assist with onboarding paperwork for subcontractors or new hires as needed

Qualifications:

  • 1-3 years of receptionist, administrative, or customer service experience (construction or related industry preferred)
  • Strong communication skills and a professional, customer-first attitude
  • Ability to multitask and stay organized in a fast-paced environment
  • Comfortable interacting with both office staff and field personnel
  • Basic understanding of construction terminology or willingness to learn
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong attention to detail and problem-solving skills
